About the job
The Office Manager is responsible for a variety of administrative tasks across US offices. The primary focus of the role is to ensure efficient and effective office operations, while also providing support to the North America Executive team when required. This role may also assist other team members as business needs arise. The Office Manager approaches their work with a positive attitude and contributes to a welcoming, collaborative, and high-performing office culture. Job duties may change at any time due to business needs.
Job Responsibilities:
- Coordinate office activities and operations across US locations to ensure efficiency and compliance.
- Order and manage office, janitorial, copier, and company supplies.
- Manage relationships with vendors and service providers.
- Issue and track facility keys, alarm codes, and company fuel cards.
- Coordinate changes to the company telephone call tree and serve as liaison between IT and staff.
- Answer and direct incoming calls from the general mailbox.
- Greet and assist visitors.
- Reserve internal and external meeting spaces as needed.
- Schedule pick-up and return of temporary garbage containers as needed.
- Transport company vehicles for service when necessary.
- Negotiate preferred rates with hotel vendors.
- Accurately record and distribute meeting minutes.
- Provide administrative support for executive leaders as needed.
- Work closely with the leadership team and managers to provide general administrative support.
- Assist with other duties as assigned.
Qualifications:
- Proven office administration, office management, or relevant administrative support experience.
- Experience supporting senior leadership and managing cross-departmental tasks.
- Knowledge of office management responsibilities, systems, and procedures.
- Excellent organizational and time management skills.
- Professional level verbal, written, listening, and interpersonal communication skills.
- Strong organizational, multi-tasking, prioritization, and follow-up skills with attention to detail.
- Must be able to meet deadlines in a fast-paced environment.
- Ability to manage multiple concurrent projects.
- Ability to answer inquiries independently and follow up with other departments to ensure requests are carried out.
- Ability to maintain security, integrity, and confidentiality of sensitive information.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to adjust hours as needed.
Compensation and Benefits:
DLF USA Inc. offers a compensation plan that includes a base salary, benefits that include medical, dental, vision, life and disability insurance, retirement savings plan with company contribution, paid holidays, vacation, and personal days. Compensation will be based on experience.
