The Sales Coordinator supports the Sales Managers by streamlining operations between Sales teams and other departments by managing logistics, pricing, reporting, and other administrative tasks to enhance team efficiency.

Reports to: Vice President of Distribution Sales

Job Summary:

The Sales Coordinator serves as a key operational link between the Sales team and other departments, ensuring smooth execution of administrative, logistical, and coordination tasks to enable the Sales function to operate efficiently. This role is essential in supporting sales-driven initiatives across the US and Canada.

 

Success in this role requires someone who is highly proactive, organized, and service-oriented, with exceptional multitasking abilities, strong communication skills, and a collaborative mindset.

 

Essential Duties and Responsibilities:

Sales & Marketing Support (Liaison Role):

  • Act as a key liaison between the Sales and Marketing teams, ensuring alignment and execution of key initiatives.
  • Facilitate communication and follow-up on deliverables, timelines, and shared resources.

 

Trade Shows, Events & Sponsorship Coordination:

  • Coordinate logistics for trade shows and sales events, including registration and payment, materials ordering and shipment, schedule management, tracking deadlines, vendor communication and post-event follow up and lead management.
  • Manage sponsorship and membership agreements, payments, and related documentation.

 

Sales Operations & Administration:

  • Maintain and update price lists and program documents across US and Canada markets.
  • Support implementation and tracking of sales programs and program and policy communications.
  • Assist in preparation of PowerPoint presentations and internal reports.
  • Ensure sales team information is up to date across web and membership platforms.
  • Maintaining documents and lists in Microsoft platforms, customer portal, and other methods.

 

Customer Relationship Management & Support:

  • Assist with customer and prospect list management and lead tracking
  • Facilitate customer communication as needed
  • Survey administration and follow up
  • Ordering or shipping of various promotional and printed materials to customers and sales staff


Scheduling & Travel Management:

  • Coordinate travel arrangements and schedules for Sales team members as needed.
  • Maintain calendars and support meeting logistics and planning.

 

Contract & Inventory Tracking:

  • Maintain an organized and updated list of active contracts.
  • Monitor and report on customer item shipments to ensure fulfillment and delivery accuracy.

 

Reporting & Analytics:

  • Generate regular and ad-hoc sales reports to support performance tracking and decision-making.
  • Monitor progress on team KPIs and program participation.

 

Qualifications:

  • 3+ years of experience in a sales coordination, sales support, or marketing operations role
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (especially PowerPoint and Excel)
  • Excellent communication and cross-functional collaboration skills
  • Experience in coordinating events or trade shows is a plus
  • Familiarity with CRM systems (e.g., Salesforce) and contract management tools preferred


Compensation and Benefits: 

This position comes with a competitive compensation plan that includes a base wage, health and wellness benefit options, retirement savings plan with company contribution, vacation, and personal days. Compensation based upon experience, range of $22.00 to $25.00 per hour starting.
